Software Updates

The ACCTivate! Software Maintenance plan is designed to provide subscribers with the newest version of ACCTivate!.

This plan includes both web-updates and full-version releases. CYMA users recognize it as SMP, while QuickBooks users recognize it as part of the new SMS plan.

Either way, it's the annual subscription that provides you with updates and new version releases.

Without a current subscription, users are not granted access to those updates and releases.

Racing towards the future

Performance Racing Warehouse (www.prwonlinestore.com) (PRW) of Placentia, CA is a manufacturer and wholesaler of high performance engine components.

 

They opened for business in 2004 with lofty goals and great expectations for their products. They knew they were in the right place at the right time, but they still needed to pull it all together to make an organized, efficient and successful business.

 

After investigating the business management software market, PRW made the decision to purchase ACCTivate! in late 2005 and after installation and training they went live with the software in January.

 

Schean Barrett, director of Marketing for PRW, says that implementing ACCTivate! was one of the best business decisions they have made and using the system will be a key to the future growth and profitability of the company.

 

Schean said, "Our general revenue for 2006 will be just under $2 million. Next year we'll triple that number. Our goal for 2008 is $10 million. Without ACCTivate! this would have been impossible."

 

The reason for this is clear. PRW's business is very inventory intensive. Before ACCTivate!, they never really knew what their inventory levels were. Now, they not only have a full picture of what is on hand, available to ship and what is on order but they also have the ability to store product specs in the system for easy retrieval, a dramatic timesaving feature for them.

 

Schean added, "We have 30 different variations for some products and each spec is a little different. It's much easier to keep all of the information in one system. When a customer calls in to get those specs, it's all right there at our fingertips in ACCTivate!. It's easy."

 

PRW's inventory needs didn't end with product variations and the need for easy spec retrieval. Like other companies, they found that they had a difficult time knowing what they had in stock and what was already scheduled to ship from that. Prior to ACCTivate!, this was all done manually and was slow, difficult and inaccurate.

 

"ACCTivate! has given us the ability to effectively manage large collections of SKUs. It lets us know what we have in stock at any one time and gives us the ability to forecast our customer's needs."

 

Schean and the crew at PRW knew that moving their business forward to the next level required investing in the right tools to help their business grow. Since implementing ACCTivate! they now have a much better control of their business and feel confident that they can forecast a strong future.

 

In addition to maintaining inventory, PRW now has a tighter grip on other aspects of their business from ACCTivate!.

Schean concluded, "We couldn't have done it without ACCTivate!. We had some little $20 software program that was running on our CSR's computers. Inventory was maintained with paper and pencil. ACCTivate! brings it all together into one system and gives us the information we need when we need it."

Shortcut Buttons

Save time and effort by using keyboard shortcuts
Do you know that ACCTivate! has a whole host of built-in shortcut buttons (sometimes called hot-keys) that are designed to save you time and effort when doing repetitive tasks in the system?

These shortcut keys are designed to allow users to enter and retrieve information from the system with the least amount of effort. Instead of only using the mouse to click icons, users can save time by using a combination of the mouse and shortcut keys.

Shortcut Key Examples
Some of these shortcuts include pressing Ctrl-E to edit most records and Ctrl -S to save them once they're open. You can also type Ctrl -N to add a whole new record (like a new sales order) or F5 to refresh the screen if it's dynamically generated.

Use the F4 key to open any lookup window
One of the most handy shortcut buttons that exists in the entire ACCTivate! system is the ability to open just about any lookup window in the system by pressing F4.

For example, you can use this shortcut to open lookup windows in the Customer Information window, Sales Order window, Purchase Order window, Product Information window and more.

A complete list of the shortcut keys exist in the help files for ACCTivate! 5.1 and higher versions. To access this list, press F1 (another shortcut button) when in ACCTivate! and search for "Shortcut Buttons" in the search field.

Customer Self-Service

Allow your customer to view their own account information online 24 hours per day

The Customer Self-Service module gives your customers the ability to view the status of their account, orders, invoices and payments through the Internet.

This module is designed to reduce the amount of interpersonal interaction needed to provide your users with basic account information. Instead of your customer service representative fielding calls or answering emails for routine information, your customer can get this information for themselves online.

  • Customers can view their account information anytime.
  • No need for customers to call into your office, they can get their account status online.
  • Reduce valuable customer service time spent on the phone answering basic account questions.
  • Establish a professional hi-tech image.
  • All account information is pulled directly from the ACCTivate! database to provide your customer with a live look at their account status.
  • Customer Self-Service tags allow you to format the look and feel of the module to match your website.

How does it work?
Through a one-time setup and configuration, you place the ACCTivate! Customer Self-Service module files on your local server, which now acts as a webhost.

 

This is the same server that holds the Primary Installation of ACCTivate!. Contact your ACCTivate! representative and/or your web developer for more information and assistance.

 

Next, configure each company with a login and password. These are stored in the Customer Information Window inside ACCTivate! under the Credit tab as Self-Service Login and Password.

 

Standard Template or your own design
The ACCTivate! Customer Self-Service module comes with a standard design. However, your web designer can incorporate your own style into the module so it can look and feel similar to your website.

 

After this is done, either point a link from your existing website to the new Customer Self-Service system or give your customers a direct link to the new address.

More great ACCTivate! team members

Jeanette Steward
The ACCTivate! team continues to grow and we are happy to have recently added Jeanette Steward to our staff.

Jeanette started with Alterity in February of this year as a business assistant, a task for which she is well suited. This addition was very much needed, as our steady growth has placed much pressure on our staff. Jeanette assists with the day-to-day operations of the office.

Some of the daily tasks she takes on include everything from sending out invoices to shipping evaluation CDs to prospects and overseeing the shipment of new ACCTivate! customer packs after an order is placed.

Jeanette brings to Alterity many years of office experience. She began as a secretary in a specialized medical center for mental health. From there she was promoted to personnel assistant. Overall, she remained at the medical center for 17 ½ years before spending nine years working as an assistant for a local attorney.

Jeanette and her husband live in Arlington, Texas and enjoy spending time with their three grandsons.

Released & Updates

ACCTivate! 6.1 is in full development

The newest version of ACCTivate! is scheduled for release later this year

 

 

Once again, the ACCTivate! team is hard at work making a good thing even better. ACCTivate! 6.1 is currently being developed with a planned release date tentatively scheduled for later this year.

 

The new release will include several major enhancements, redesigned screens and new features designed to make your business experience better.

 

Who can get the update?
Only ACCTivate! users that have an active software renewal subscription are eligible to receive this newest version. QuickBooks users recognize this as SMS and CYMA users are under SMP.
