Software Updates

The ACCTivate! Software Maintenance plan is designed to provide subscribers with the newest version of ACCTivate!.

This plan includes both web-updates and full-version releases. CYMA users recognize it as SMP, while QuickBooks users recognize it as part of the new SMS plan.

Either way, it's the annual subscription that provides you with updates and new version releases.

Without a current subscription, users are not granted access to those updates and releases.

Another ACCTivate! Success!

Ugly Mug Coffee (uglymugcoffee.com), of Memphis, Tennessee is a growing and fun-loving coffee company founded in 1998. While they love their coffee, they are very serious about their business.

 

Over two years ago Tim Burleson, co-owner and CTO of Ugly Mug, went looking for a business and operations management system to help support the company's growth. He also wanted to move their operation away from manual systems such as spreadsheets so they could better manage their customers, products and the overall flow of orders.

 

After examining the software market for a year, Tim, who has a background in software development, didn't see a small-business package powerful enough for them. So, he decided to have a package custom built.

 

After they had already started this process, he found the ACCTivate! website and discovered that a powerful small-business package does exist after all. He dropped the custom software development, purchased ACCTivate! and went live in February 2005.

 

Tim concluded that ACCTivate! is not only more powerful than the system they were about to build, but it is less expensive overall as well. He said, "we're in the coffee business, not the software development and support business." He added that it is also much easier to have the professional staff at ACCTivate! support, release updates and enhance the software as well.

Last year, Ugly Mug launched Elvis Coffee (elviscoffee.com), a line of Elvis-themed products that has been shipped to every state, 15 countries and can even be purchased at Graceland.

 

With the help of ACCTivate!, this brand has turned into the largest non-music venture licensed by Elvis Presley Enterprises. "We couldn't have done ElvisCoffee.com without ACCTivate!," is the conclusion Tim made.

 

This strong statement is a clear indication of the productivity and organization gains that can be earned from successfully running ACCTivate!.

 

During the holidays last year, the Elvis Coffee website received 4,000 orders in five days. These orders were imported into ACCTivate! through the web order import module and processed without a glitch.

 

An average non-holiday week usually sees between 50 and 200 orders. During this busy week, Ugly Mug was able to handle over 20 times the shipping volume of a typical busy week and they attribute it to productivity gains from ACCTivate!.

 

One of these productivity gains is the ability to process orders faster than before. Tim also notes, "barcoding in ACCTivate! saves us at least an hour per day".

 

Ugly Mug has modified their order picking sheets (through Crystal Reports) to include the order number both in human-readable letters and barcode as well.

 

After the order is picked and ready to ship, the order number is scanned into the shipping computer and through the shipping workstation interface module all of the shipping information is populated instantly in their shipping software.

 

Saving at least an hour per day calculates into real savings in the long run. Week after week this can add up to hundreds of hours and thousands of dollars saved per year.

 

ACCTivate! has allowed Ugly Mug to gain control of their business so they can manage everything from inventory to a precise cost of goods sold. Before ACCTivate!, their business processes were very manual with spreadsheets and printouts.

 

Now, with ACCTivate! they track their inventory, review customer performance and calculate cost of goods sold at a very granular level. They even calculate their coffee cost in a given bag to a fraction of a pound, for example.

Ugly Mug Coffee is a small business on the rise. They made a decision to invest in their company when they chose ACCTivate! and that is an investment that is paying off. Cheers!

Invoice Number can now be the same as Sales Order Number

 

ACCTivate! keeps getting better and better

A recent enhancement to ACCTivate! (released in build 1196) provides the ability for ACCTivate! to automatically use the sales order number as the invoice number when processing invoices.

 

When appropriate, many companies find that this feature reduces some difficulties introduced from having to match different numbers for the sales order and the invoice created from that sales order. It can help aid in the organization of invoices for accounts payable as the customer now only has one number to remember from the beginning of the sales order.

 

Example:
A customer places an order for two widgets and three gizmos. The order is entered into the system as Sales Order number A1538T. After the order has been processed and shipped, the invoice is created using the same number as the order, number A1538T. There is no new invoice number introduced into the process.

 

If the order is split into different shipments and is invoiced in two parts, ACCTivate! automatically adds a numerical suffix to the end of the invoice number. Such that the second invoice is labeled number A1538T-2, the third becomes number A1538T-3 and so on.

 

How to Configure

Configuration is performed in the Configuration Manager. Select File > Configuration Manager. Then select the Sales Order folder and the Order Options sub-folder.

 

 

The new checkbox exists under the Order Processing Options section and is listed as Use Order Number as Invoice Number. Enter edit mode by clicking the edit button or by typing Ctrl-e. Check this box to turn on this feature. Click the save button or type Ctrl-s to save.

 

Now the feature is turned on and all new invoices will be created with the same invoice number as the sales number.

Service Scheduling and Billing Modules

Stay organized and reduce service billing headaches
The Business Activities Management module is a small suite of products. In addition to the main Business Activities Management module two plug-ins exist that help expand the functionality dramatically.

Business Activities Management exists as a great way to track and to stay on top of a variety of topics and issues that your business faces daily. However, many Business Activities involve the management of time and materials for services or non-product activities.

To help manage these activities, we have developed additional tools to help schedule time (Service Scheduling) and labor and materials (Service Billing).

Service Scheduling
If your business is designed around scheduling tasks and employee time, then the Business Activities Service Scheduling module may be a great solution for you to help manage your company's routine.

The Business Activities Service Scheduling displays a list of tasks and lets you to assign them to any employee. The board neatly organizes tasks for each employee in their own column and displays all unassigned tasks in a general column.

Moreover, if you need to balance your workload, you can quickly move tasks around from one employee to another. Click on the task and drag-and-drop it from one person's column to another. This will automatically re-assign and save the task to the new employee's list of tasks for that day.

Service Billing
This module allows you to easily bill for work done on service and sales activities by allowing you to add labor and materials directly to any service activity that you are tracking. This will allow you to more easily bill for what you put into a service call.

Once the service call has been completed you can quickly
produce a service order and invoice for extra labor and materials used. The end result is a tool that assists you in managing the costs related to your service calls. All charges that are related to the initial service call charges are collected and stored in one simple Business Activity.

A Brief History of ACCTivate!

Design History

In the late 1990's, Ron Souder, President and CEO of Alterity, Inc., determined there was a need for powerful business management software that could not only track inventory but also provide real management information to help businesses operate more efficiently.

 

He had a vision of a powerful and feature-rich system that could meet the needs of small and midsized companies. The software would provide similar functionality of the big systems used by major corporations, but delivered at a fraction of the cost.

 

The development process began and it drew heavily from Ron's more than 30 years of experience designing software products for businesses around the world. The end result of this process is the ACCTivate! system.

 

Editions and Versions

In 1999, ACCTivate! was released as an inventory and distribution management solution for companies running the CYMA IV Accounting system. Scores of CYMA customers found in ACCTivate! powerful features that helped them take control of their operations.

 

Another edition was added in December 2003 to provide these same tools to companies running the QuickBooks accounting system. This process began in early 2003 when Intuit released a Software Developers Kit that provided capabilities required for ACCTivate! integration.

 

ACCTivate! was one of the first major systems to integrate with QuickBooks and remains one of the most powerful and popular.

 

Future Growth

The future looks great for ACCTivate!. To date, hundreds of companies have chosen to use ACCTivate! as their business management system in both the CYMA and QuickBooks editions.

 

In addition, we are contacted by hundreds of new companies each month that desire the functionality provided by ACCTivate!. To handle this demand the staff at Alterity has grown consistently over the past few years.

Wireless Handheld Updates

Several changes have been completed for the ACCTivate! Handheld modules. The newest build (2344) was released on June 12 with a combination of enhancements and other changes.

 

General Changes

  • The new build now supports the Socket Communications CHS Series Bluetooth barcode scanners.
  • The initial loading time of ACCTivate! has been reduced significantly.
  • Disabled ACCTivate! user accounts are no longer allowed to login.
  • Several fixes and other changes have been made.

 

Module Changes

Listed below are some of the changes found in specific modules.

 

Handheld Inventory Receiving

The screen in this module now only displays lines from the purchase order that are "Products from inventory (P)".

Handheld Order Picking

You can now configure ACCTivate! to automatically show a picked quantity for all lines when the "Pick Complete Sales Order by Default" configuration management option is enabled. Lot and serial numbers are not picked automatically, however.
