Software Updates

The ACCTivate! Software Maintenance plan is designed to provide subscribers with the newest version of ACCTivate!.

This plan includes both web-updates and full-version releases. CYMA users recognize it as SMP, while QuickBooks users recognize it as part of the new SMS plan.

Either way, it's the annual subscription that provides you with updates and new version releases.

Without a current subscription, users are not granted access to those updates and releases.

User Spotlight: Hawaii Nut and Bolt, Inc.

 

Hawaii Nut and Bolt has greatly improved their inventory management and control after implementing ACCTivate!

 

For more than 25 years Hawaii Nut and Bolt, Inc. has supplied fasteners and building materials throughout the Pacific Rim. They specialize in the wholesale distribution of specialty building materials such as nuts, bolts, screws, cement, and hardware.

 

After growing steady for more than two decades, Hawaii Nut and Bolt, Inc. is at last uninhibited by the constraints of an ineffective inventory management system that had hindered the company's growth.

 

The company implemented ACCTivate! in April 2005, and has since benefited from an unrivaled level of organization in business management and inventory control.

 

Bill Hayes , owner and CEO, stated, "ACCTivate! has delivered time and time again. The software allows us to have the ability to focus on our customers instead of our inventory, and its point of sale function has transformed the way we complete counter sales." Simple and Powerful RFQ Management

Built in Request for Quote functionality
Many ACCTivate! users don't realize some of the powerful features that are built into the system. Among these is the ability to create a request for quote that is really just a purchase order with a new status.

 

 

The benefit of this quick and easy status change is clear. There is no need to create two different POs - one for the RFQ and one for the full PO when you accept or reject the returned quote. Just one click turns a RFQ into a true PO or cancels it.

 

However, there is more to it than just that. ACCTivate! gives you the ability to print different reports and forms for each type of PO; so a RFQ will print your RFQ form and a PO with the status of "issued" will print your standard PO form.

 

How do I use RFQs in ACCTivate!?

 

1)     First, make certain that ACCTivate! is configured for RFQs.

Open File > Configuration Manager > Purchasing > Purchasing Options and change the order status to Request for quote, so it will be an option. Save this change if one is made.

2)     Now, when you create a new PO in the Purchase Order window, you can set the status to "Request for quote".

While it is still a PO, it has the special status of being a RFQ. When you click the purchase order print button, it will print whatever form is designated for the RFQ, which is not necessarily your standard PO form.

3)     When the status of the RFQ needs to be changed (you accepted or rejected the quote from your vendor), simply edit the RFQ and change the status to "issued" or "cancelled".

Wireless Barcode Pocket PC Modules

Our wireless handheld units keep getting better
The ACCTivate! Wireless Pocket PC modules have been on the market for some time, but as demand for this type of business tool keeps growing so does the development to enhance the modules even further.

 

These have been designed to work on any modern Pocket PC, but warehouse-ready units like the Symbol PPT8846 or the MC50/MC62 are recommended because they have built-in barcode scanners (which simplifies installation) and they are ruggedized to take the abuse of a warehouse.

 

Beyond this, there are other options and technical considerations that can let you do things that were impossible even five years ago. For example, many new Pocket PCs provide cellular-phone internet data connections (check with your cellular provider). This type of connection allows you to operate the modules anywhere you get a proper cellular signal. You can check your inventory levels while on the road or at a client's office.

 

We currently offer four different wireless modules:

 

Inventory Receiving
This module gives you a complete list of all inbound POs in the palm of your hand on a Pocket PC. Moreover, you can open each PO and receive the inventory into stock directly while you're in the warehouse. No need to mess with paper printouts, it's all there for you on your Pocket PC.

 

Showroom Sales – Sales Order Entry

The Showroom Sales module allows you to quickly enter orders while you walk around your showroom or warehouse. This process could be done with a customer or perhaps while you talk to them over the phone. Either way, you can scan the barcodes for each product and the order will be placed once you submit it to the system.

 

Order Picking

Once orders are put into the system, a dramatic increase in efficiency and accuracy can be seen when orders are picked with the Order Picking module. Gone is the day or picking an item and marking it on the pick sheet; simply scan the barcode and the item will be picked automatically. If you pick the wrong product, the accuracy of the barcode will save you from sending it to the customer.

 

Inventory Count

Another great time saving module is the Inventory Count module. Instead of printing off a lengthy count sheet, have that information read in your Pocket PC. No need for paper and a pencil when counting, do it all with the precision found from scanning barcodes. When you're done, save it and it will be passed directly back to the main ACCTivate! system.

Without any doubt, each member of the staff at Alterity has had a hand in making it as successful as it is today. This is especially true for the management who lead the company with considerable experience in this industry.

Ken Parker – VP of Sales and Marketing
The skills and experience that Ken Parker brings to the ACCTivate! team are undoubtedly a major reason behind its success. In 2000 Ken joined Alterity as Vice President of Sales and Marketing and oversees all aspects of Sales and Marketing for the company.

Prior to coming to Alterity, Ken served as the President of two major software companies and the Vice President of Sales and Marketing of two others. His executive experience in the software industry provides a deep understanding of the entire industry.

Ken earned a Bachelor of Science in Engineering from the United States Military Academy at West Point. After military service he began working in the software industry, beginning with IBM, and has spent his career helping companies become more successful and productive by correctly implementing technology.

For example, in the 1970's Ken was a key builder of a software product called STARS that was a worldwide success with more that 6,000 installations (a lot in those days). This package ran on a popular mini-computer and handled sales orders, inventory management and other related functions.

Ken lives in the greater Dallas, Texas area with his wife. He is active in the community, participates in book clubs and enjoys spending time with his grandchildren.

EDI gets even easier with new ACCTivate! and ICC relationship

Our relationship with ICC benefits all who want to use EDI
While the ACCTivate! EDI manager has been around for a while, we have recently formed a relationship with a state-of-the-art network services company called ICC (Internet Commerce Corporation).

ICC is a pioneer in the use of the Internet for business-to-business (B2B) e-commerce solutions. Our relationship makes it easier for users of the ACCTivate! EDI Manager to use ICC's high performance and low-cost network. This network facilitates the transmission of EDI documents between trading partners (TP1, TP2, TPn) and the ACCTivate! EDI Manager.

How does it work?
EDI is a process of communicating data electronically between companies or "Trading Partners".

 

In ACCTivate!, this includes giving you the ability to electronically exchange purchase orders, invoices, advance shipping notices, requests for credit and organizational relationship information.

By using ICC as the VAN (Value Added Network), between ACCTivate! and your Trading Partners, several immediate benefits may be derived. Perhaps most importantly is the substantial savings ICC provides over other VANs, including the setup and installation costs.

Also, each Trading Partner may (and often does) have a slightly unique way of handling EDI transactions. Because ICC is well established in the industry, they have already dealt with hundreds of major trading partners and have the experience to get the job done quickly, saving both time and money.
