ACCTivation! 2007

We've picked a date! The third annual ACCTivate! users conference will be held May 8 – 10, 2007 in Arlington, Texas.

 

It's never too early to reserve the date on your calendar!

ACCTivation! 2007 will have presentations like tips & tricks, advanced system usage, Crystal Reports training, question and answer sessions and much more.

In addition, you can meet the ACCTivate! team and other ACCTivate! users from across the country.

 

Software Updates

The ACCTivate! Software Maintenance plan is designed to provide subscribers with the newest version of ACCTivate!.

This plan includes both web-updates and full-version releases. CYMA users recognize it as SMP, while QuickBooks users recognize it as part of the new SMS plan.

Either way, it's the annual subscription that provides you with updates and new version releases.

Without a current subscription, users are not granted access to those updates and releases.

QuickBooks Gold Developer Luncheon

October 19, 2006 (Intuit, Inc. - Mountain View, CA)
ACCTivate! was recognized by Intuit as a QuickBooks Gold Developer in a luncheon event held at Intuit's Mountain View, CA headquarters.

 

Alterity CEO and President Ron Souder and Marketing Communication Manager attended the event which was themed as a developer graduation.

 

The festivities included a speech by Intuit Senior Vice President and General Manager Brad Smith and a video that highlighted the relationship that Intuit has with key integrated products like ACCTivate!.

 

One of the most memorable segments of the video was an interview with SoftAir USA, an ACCTivate! user.

 

They explained how ACCTivate! helped them as they grew from a small business doing $400,000 in sales to a company that expects $40 million in sales for 2006.

 

Following the video, while donning a gold cap and gown, Steve accepted the Gold Developer diploma.

 

This lead into a meet and greet time where Intuit employees interacted with Ron and Steve and learned more about how ACCTivate! helps solve business problems that many QuickBooks users face.

The Gold Developer status is significant. It means ACCTivate! is acknowledged as a leading developer of business software that integrates to QuickBooks.

 

Out of the hundreds of packages that integrate to QuickBooks, less than a dozen earned Gold Developer status. The entire ACCTivate! staff is honored to receive this recognition.

Customer Profile

Customer Profile : Discovery Distribution

 

Discovery Distribution of Centennial, Colorado (www.discoverydistribution.com) is a growing distributor of electronic home integration products.

 

They handle products from dozens of vendors and many product lines. These products include basics such as wire, cable, connectors and audio equipment to higher-end items such as TVs, surround sound, receivers and more.

 

Juan Fuenzalida, Vice President of Operations, joined the company nearly two years ago.

 

He knew it was time to implement technology to solve their business problems. Also, in an industry with heavy competition, Juan wanted to use technology to gain an advantage over his competition.

 

After getting settled into his new position, Fuenzalida researched the options and made the decision to purchase ACCTivate! in October 2005. They went live with the software in January 2006.

 

"ACCTivate! has had a tremendous effect on our business! We now finally have control over how we manage inventory. We're not flying blind, which I felt we were before when we were running QuickBooks alone. It's been great," said Fuenzalida.

 

Getting control of their inventory has helped Discovery Distribution in several ways. It's much more than just knowing where each product is, but the entire order flow process has been enhanced.

 

Fuenzalida continued, "For the warehouse guys, it's so much nicer to have a pick ticket [from a sales order] to be able to identify where the product is because the bin location is on the pick ticket. It's been a big plus. The company is now much more organized because of ACCTivate!."

 

Fuenzalida also found that ACCTivate! was more than just an inventory control system. Instead, he saw features and capabilities that provided full management over major areas of his business.

 

"For me, the reporting helps me the most. It allows me to see what's going on as far as 'are we making money or losing money?', 'what customers are we not charging enough?' and the reports give me that information," Fuenzalida concluded.

 

The Discovery Distribution team was also impressed at how well the installation and configuration process went.

 

"The implementation process went fairly smoothly. I've been through other system implementations that were much more difficult," said Fuenzalida.

 

The entire ACCTivate! team is very pleased to have yet another success story with our software. We're looking forward to many years of working with the Discovery Distribution team to help them achieve their business goals.

Organize, modify and add reports

Define reports in the Configuration Manager

There is yet another way to configure ACCTivate! to meet your company's specific needs.

 

Through the ACCTivate! Configuration Manager, you can add and reorganize custom reports created with Crystal Reports.

 

Configuration is performed in the Configuration Manager > Reports folder > Reports Catalog > Reports tab. There are quite a few elements that may be defined for each report.

 

Reorganization of reports can be controlled by the module and folder you select for the report.

 

During the configuration process, select the module from the drop-down menu that you want the report to show in ACCTivate!.



 

In the example above, Issue is selected as the module, which makes the report available in Activities > Business Activity Reports.

 

This next table illustrates the modules found in the Module drop-down menu and where applied reports will be shown.

Reports are organized within folders to group reports together. You can use existing folders or create new ones.

 

Just enter the new or existing folder name in the Folder field. If it's new, the folder will be created and will appear in the report window for the specified module.

 

In the example below, a folder named Forms was created and appears in the Issue Tracking Reports window. Multiple reports can exist in a folder.


 

 

Also, new custom reports can be added by adding the report to the Reports tab list. Click Edit to add a report and a blank line will appear at the bottom of the list. Then define the below information for the new report.

 

Elements to define for each report

If it's a custom report, not a standard

The unique ID

The module it is for

The folder it will be in

The default printing orientation of the paper

The number of copies to print

The description that will display in the report window

The actual file name for report definition

The default paper size for printing

Whether or not the print job will be collated

The permission a user must have to access it

Whether or not to hide the report in the report window

A format for printed documents (i.e. a sales order or quote)

A note about the report

 

For both new and existing reports, you can also select the type of criteria that will be filtered by the user.

 

This is configured in the Report Catalog > Report Selection Prompts tab (as shown below) and will appear in the Report Selection Criteria window when the specific report is selected by a user.

 

This and more is taught in the Beginning Custom Reporting class, which is held every third Monday of the month.

QuickBooks Merchant Services

ACCTivate! users across the country agree that ACCTivate! is a powerful tool that is loaded with features, functions and abilities that are not found in other similarly-priced systems.

We're proud that we are the only QuickBooks integrated system that has the ability to accept credit card payments online through QuickBooks Merchant Services.

QuickBooks Merchant Services Integration
This standard ACCTivate! feature allows credit cards to be taken and billed for an order inside of ACCTivate! when that order is invoiced.

The benefit for ACCTivate! users is clear. You can enter credit card information directly into ACCTivate! without having to have QuickBooks opened.

The payment is then processed online and all relevant information is passed over to QuickBooks during the next normal synchronization.

This module is available for QuickBooks users, as it relies on QuickBooks Merchant Services to process the credit cards online. Again, this is not an add-on module, it's part of the base ACCTivate! system.

New faces on the ACCTivate! team

We're always on the lookout for talent to join our team, especially as more and more companies run ACCTivate! each month.

 

Stephen Stull

Stephen recently joined Alterity as an implementation specialist and has hit the ground running. He's brought an impressive mix of talent, education and enthusiasm with him to the ACCTivate! team.

 

He's known that he's wanted to be involved in business for many years. This desire started when he began tracking stocks and watching financial news programs as a child. He eventually created an investment portfolio in high school from money made mowing lawns.

 

From there, Stephen graduated from Texas Christian University in Fort Worth with a double major in accounting and finance. He is currently working towards a Masters degree in accounting at The University of Texas at Arlington and will graduate in 2007.

 

Stephen lives in the greater Dallas/Fort Worth, Texas area and enjoys watching TCU football, rock climbing and reading.

CYMA Version 9 and other updates

CYMA Users - ACCTivate! is not yet compatible with the just-released CYMA version 9.

Many CYMA users have asked if ACCTivate! 6.0 is compatible with the new CYMA Version 9 that was just recently released.

Unfortunately, ACCTivate! 6.0 is not compatible with CYMA Version 9Please do not install CYMA Version 9 if you are running any version of ACCTivate!.   

However, a new version of ACCTivate! is planned to be released in the future. This new version of ACCTivate! is designed to be compatible with the new version of CYMA

This version is also designed to include support for Pervasive 9.1.


We're hard at work testing the next ACCTivate! release

Good news! Development on the next version of ACCTivate! is frozen and we're well into the testing process to put it through its paces.

Once testing is complete and the enhancements and modifications have been well documented, we'll release this newest and greatest ACCTivate! update.

This update contains a good number of enhancements and we're excited to be nearing the point where users will be able to get their hands on it.
