Get control over your credit delinquent customers

A new configuration feature in ACCTivate! 6.2 sets credit restrictions

Do you need more control over credit delinquent customers? ACCTivate! can give you the control you need.

 

ACCTivate! 6.2 brings a new feature to the Customer Options Configuration window (Configuration Management > Customer > Customer Options), which allows credit restrictions to be set. These credit options are available in the Credit Evaluation section.

 

 

The first option, "Deny credit if invoices overdue" allows customer credit to be automatically blocked based on unpaid invoices past their due date, when checked.

*Remember that this option is based on the due date of the invoice and not the invoice date. The due date is determined by the terms setup in QuickBooks.

 

Corresponding to the "Deny credit if invoices overdue" option is the field that allows you to set the number of days to consider until an invoice is overdue (grace period days).

If left at 0, then the invoice is due on the invoice due date, there is no grace period and the invoice is now considered overdue.

 

There are two more options that can be set, "Deny credit if over limit" and its corresponding option, "Zero limit indicates no pre-approved credit."

 

If the "Deny credit if over limit" option is checked, the credit limits are turned on and customer credit will be automatically blocked based on whether or not the customer is over their credit limit as set in the Customer Information window > Credit tab.

 

If the "Zero limit indicates no pre-approved credit" option is checked and a customer's credit value is at zero, then they have a zero dollar credit limit and will be placed on credit hold. But if their limit is zero and the option is unchecked they will have unlimited credit.

 

When configuring the credit options, you must make sure they are setup correctly and that you understand how to use them or else you will run into problems:

 

  • If you have invoices that are showing as overdue, but the customer balance is zero then you need to make sure that all prior payments and credits have been applied to your invoices in QuickBooks.

  • The "Deny credit if invoices overdue" option is a notification on overdue invoices, not on whether the customer account is current.

    If you need to put the customer on hold due to a customer balance issue, you can do so manually by checking the Credit Hold checkbox in the Customer Information window > Credit tab.

 

After configuring the credit options, you can track and manage the customers who have overdue invoices or are over their credit limit in the Business Alerts window > Credit Mgmt > Credit Held Customers bottom tab.

 

Customers with overdue invoices will display in the Alerts window with a Credit Status of Overdue (if you checked the "Deny credit if invoices overdue" option); and customers over their credit limit will display with a Credit Status of Over Limit (if you checked the "Deny credit if over limit" option).

 

Another great feature that gives you control over your ACCTivate! system, so you can run your business according to your needs.

Business Activity Management Module
Manage and track your business activities

One of the most powerful time and energy-saving resources available to ACCTivate! users comes from the proper implementation and use of the Business Activities Management module.

 

This module allows any organization to properly manage virtually any type of information that needs to be documented, categorized and stored for review at a later date.

 

It can do this because it's completely configurable to work for any company in the way that they do business. Each activity is stored as its own unique business activity, complete with a full description and categorization along with the specific action that needs to be taken.

 

Business Activities Management can really help to keep track of hundreds of different types of activities in a typical business.

 

 

Here are a few examples:

Customer Service Management

When a customer calls in with a complaint, a question about a bill, a question about a product or anything else, simply create a new business activity while they're on the phone to get started. Then, depending on the nature of the call, you can enter their information and even link this new activity to a specific sales order or to a specific product.

 

If necessary, assign this activity to someone in the company to follow-up with by a certain date. When they finish dealing with it, they can reassign it to someone else, or mark it as complete.

 

RMA Management

Again, because the system is open-ended, you can fully manage just about any type of information or activity that is needed in your company.

 

Of course, this includes RMA management. When a customer wants to return an item that they have purchased, simply create a new business activity with the relevant information entered into it.

 

Give that activity number to the customer as a RMA number. If it's written on the paperwork that comes with the returned package, anyone in the company can access the RMA number and take the necessary action to complete the RMA.

Redesigned support pages take a user-friendly approach

Have you noticed the new ACCTivate! Online Support website? It's been redesigned to give you a much easier time to request support, download updates and more.

The functionality of the online support web pages is basically the same, but the pages have been redesigned to match the website. The navigation on the main ACCTivate! Online Support page has been simplified, so you can easily find what you need.

On the main page you will find direct links to:

·         The Support Center, where you can follow-up on existing support requests and from there contact support and submit new support requests

·         Downloads & Updates, where you can download the latest versions of the ACCTivate! software

·         Contact Sales, so you can expand the functionality of ACCTivate! with Add-on Features or more users

·         Documentation, where you will find documents covering everything from installation, modules and reference guides

·         Training Classes, where you can sign up for online training classes

·         Knowledge Base, where you can get answers to common questions concerning ACCTivate!

We are currently redesigning other pages of the website as well and have already done so to others, in order to give you the experience you deserve and the information you need.

ACCTivate! 6.2 officially released
All ACCTivate! QuickBooks users with a current SMS can download the release

On February 5, ACCTivate! 6.2 was officially released for QuickBooks users. The wait was well worth it, as the new and improved version introduces dozens of changes designed to give you a better user experience, add flexibility, increase speed and efficiency and help accommodate overall business management needs.

Virtually every ACCTivate! feature has something new and/or improved, but here is just a taste:

Ø       UPS & FedEx tracking can now be seen on the Sales Order window
