May 8th through May 10th we'll be holding the annual ACCTivate! Users Conference in Arlington, Texas.

 

ACCTivation! 2007 is a continuation of our annual tradition of training, speakers, tips and tricks and open workshops. The goal is to provide you with tools to help you better manage your business.

Manage accounts receivable collection efforts

Use Business Alerts and notes to effectively track collections

The power of the Business Alerts module combined with the ability to record notes in virtually every window and tab in ACCTivate! can help you easily track and manage accounts receivable collection efforts.

 

The entire process of collecting begins with an alert that there is a problem.

Basic details of all credit held customers (Credit Held Customers bottom tab) as well as customers with overdue invoices (Overdue Invoices bottom tab) appear in the Credit Mgmt tab of the Business Alerts window.

Double-clicking a credit held customer will lead you to the Customer window > Credit tab, where you'll find further information concerning the credit problem. You can also double-click a customer in the Overdue Invoices tab to view the overdue customer invoice and access thier customer record.

Take action for collections with a greater amount of knowledge

With all this information managed in your system, including the customer record you can now take action and be well informed before doing so.

Use the notes (Notes side tab) built into the Credit tab (shown below) to see if any collection attempts have already been made, as well as record any information about efforts you make. While you contact the customer, take notes so that you can track customer conversations and what was said.




These notes are stored in the Credit tab creating a history of all collection efforts. They also appear in the Business Alerts > Reminders tab if assigned to an ACCTivate! user for follow-up.

For example, (in the image below) the first reminder was a note entered in the Credit tab above. To assign a note to a user, enter a date by which you want them to follow-up in the 'Followup' field and enter their user ID in the first 'By' field.

 


 

If you need to mark a note as completed, so it will no longer appear as an alert, either check the checkbox to the left of the note in the Credit tab or in the Reminders tab. This will now be removed from Alerts. A permanent record is left in the Credit tab for tracking and managing purposes.

If a payment is promised

Notes and alerts can help your business keep track of a wide variety of information and one particular purpose in a collection situation is when a customer promises to send a payment.

 

  • Create a new note for the promise and set the follow-up date for the day the payment should arrive.
  • If the payment arrives, simply mark the note as completed.
  • If it doesn't arrive, the note will remain in Alerts reminding you of the credit problem.

 

Business Alerts and note recording capabilities in ACCTivate! can ease the collection process like ACCTivate! does for so many other business processes.

UPS & FedEx Shipping Workstation Interface
Save time, effort and money with this add-on module

The UPS & FedEx Shipping Workstation Interface module is perhaps one of the most popular modules for ACCTivate!. It's a great time-saver for companies that ship via FedEx or UPS on a regular basis.

The module allows for information such as order and customer information to be shared between the shipping software and ACCTivate!.

Some of the benefits including automatically having order information (Customer Name, Address, etc.) populated in your shipping workstation. This reduces time consuming and error-prone double-entry.

Also, shipping information such as tracking numbers and shipping costs is posted back into ACCTivate!. Again, a major time-saver.

How does it work?
After a one-time setup and configuration, your UPS or FedEx software is given permission to access order information in ACCTivate!.

When it's time to process shipping information, the shipper enters the ACCTivate! order number on the shipping software. All of the customer information is then populated on the screen (i.e. name, company, shipping address, etc.). No need to double-enter the address or choose through several ship-to address for the same company.


The shipment is processed just like any other order, however when you are done the shipping information is sent back to ACCTivate!. When the order is invoiced in ACCTivate!, all of this information, including the lengthy tracking number, is posted directly, saving time and reducing errors.

 

Benefits Overview
Information Sharing: Automatically have customer and order information available on your shipping workstation. A tremendous time-saver.

Simplified procedures: Your warehouse will no longer have to retype the customer's address (or choose the specific address from multiple ship-to addresses).


No need to re-key information:
Shipping charges, weight and tracking numbers are automatically sent back to the order in ACCTivate!. They're ready for you when you invoice.


Reduce errors:
This system can greatly reduce errors because key information is moved automatically.


Simplified tracking:
The tracking number is automatically sent back to ACCTivate! for quick package tracking.


Important Notice for UPS WorldShip 9 users
UPS WorldShip recently released a new version of their software, version 9, which changes the way that shipping charges are provided to ACCTivate!. (Please note, this upgrade may be automated)

Shipping charges will no longer be provided to ACCTivate! due to a configuration change. This change is in UPS WorldShip, nothing needs to be reconfigured in ACCTivate!.

To correct this problem you must update the configuration in UPS WorldShip.
Download the new version of the Shipping Workstation Intergration Document and refer to pages 15 & 16 for the new configuration changes.

The ACCTivate! team keeps expanding with talented individuals

As the number of companies running ACCTivate! grows every month, we've had to increase our staff size steadily over the last few years. We've been very fortunate to keep hiring new faces that come loaded with talent.

 

Ryan Moeller

Ryan Moeller recently joined the ACCTivate! team as a Sales Representative, although he will spend a number of weeks in the implementation department while he gets up to speed on all things ACCTivate!.

 

Ryan comes to us having worked in different industries as a sales representative including many Fortune 500 companies. He's eager to jump in and apply his sales skills. He chose a sales career partly because he has a knack for explaining complicated subjects.

 

Ryan graduated from Texas A&M University in December 2005 with a Bachelor of Science degree in Biomedical Science.

Ryan has resided in the Arlington, Texas area much of his life. In his free time, he enjoys shooting pool, skiing, football, basketball, volleyball...basically any kind of competitive sport.

Testing, beta sites and more!

ACCTivate! 6.2 for QuickBooks
Testing is nearing an end and the release of ACCTivate! 6.2 is just around the corner. It has already been installed at various beta sites and was demonstrated to many existing customers in free online seminars this month. The beta sites and seminars evoked feedback, compliments and excitement of the release.

ACCTivate! 6.2 will be the largest ACCTivate! release ever, which introduces dozens of enhancements, improvements and new features to the ACCTivate! system. These changes are designed to give you a better user experience, add flexibility, increase speed and efficiency and help accommodate overall business management needs.

 

This version may be downloaded by ACCTivate! users with current SMS product subscriptions. Please contact your ACCTivate! representative for more information.
