Change filtering criteria for reports

Filter Stock On Hand report for negative quantities

The Report Catalog in the ACCTivate! Configuration Manager gives you the power to manage all the reports in your system. One particular configuration option it provides is the ability to set filtering criteria for any report.

When a report is opened in ACCTivate!, a Report Selection Criteria box opens, which contains filtering options specific to the report.

The Selection Prompts tab within the Report Catalog, can be used to configure the filtering options so that any data can be obtained from a report without having to customize the actual report.

The following is a great example of using the Selection Prompts options to get the data you need:

Filter Stock On Hand report for negative quantities

You can add or change the filtering criteria of any report to meet the needs of your business, but this example details the steps for adding quantity as a filtering criterion for the Stock On Hand report.

Once you add the Quantity On Hand filtering criterion you will be able to filter the Stock On Hand report for negative quantities.

  1. Select File > Configuration to open the Configuration Manager.
  2. Select Reports > Report Catalog.
  3. In the Report Catalog expand the Inventory folder and then the Warehouse folder. Select the Stock On Hand report (make sure it is highlighted).
  4. Click the Selection Prompts tab on the right-hand side.
  5. Click the Edit button and an empty line will appear at the bottom of the data grid within the Selection Prompts tab.
  6. On that empty line, type Quantity on Hand in the Prompt field.
  7. Click inside the Field field and click the button that appears.

The Select Field Name dialog box will open. Expand the ProductWarehouseSummary folder and select QtyOnHand as the field name.

  8. In the Type field select Integer.

  9. Click on the Properties tab and check the box next to 'Do not overwrite changes to this definition during ACCTivate! update'.
  10. Click Save and close the Configuration Manager.
  11. Now try out the new filtering criterion.

Select Inventory > Inventory Reports from the desktop menu. Then in the Reports window, expand the Warehouse folder and select the Stock On Hand report.
  12. From the Report Selection Criteria dialog box select Less than from Relation field and in the Value 1 field type 0.

Now run the report and it will only show stock with negative quantities.

Business Activity Management Module

Manage and track any and all or your business activities

One of the most powerful time and energy-saving resources available to ACCTivate! users comes from the proper implementation and use of the Business Activities Management module.

This module allows businesses to properly manage virtually any type of information that needs to be documented, categorized and stored for review at a later date.

It can do this because it's completely configurable to work for any company in the way that they do business.

Each activity is stored as its own unique business activity, complete with a full description and categorization along with the specific action that needs to be taken.

Business Activity Management can really help to keep track of hundreds of different types of activities in a typical business.

Here are a few examples:

Customer Service Management with the ACCTivate! Business Activity Management Module Customer Service Management

Keep your customers satisfied by keeping track of their customer service issues. With the Business Activity Management module you can easily take care of their needs and have a complete history of their issues right at your fingertips.

When a customer calls in with a complaint, a question about a bill, a question about a product or anything else, simply create a new business activity while they're on the phone.

Then, depending on the nature of the call, you can enter their information and even link the new activity to a specific sales order or to a specific product.

If necessary, assign this activity to someone in the company to follow-up with by a certain date. When they finish dealing with it, they can reassign it to someone else, or mark it as complete.

Return Merchandise Authorization Management with the ACCTivate! Business Activity Management Module Return Merchandise Authorization (RMA) Management

The Business Activity Management module is your company's savior when it comes to efficiently managing product returns. The module can save you headaches and promote customer goodwill when tracking and managing RMAs.

When a customer wants to return an item that they have purchased, simply create a new business activity with the relevant information entered into it.

Give that activity number to the customer as a RMA number. If it's written on the paperwork that comes with the returned package, anyone in the company can access the RMA number and take the necessary action to complete the RMA.

Sale Opportunity Tracking and Management with the ACCTivate! Business Activity Management Module Sales Opportunity Tracking & Management

Most companies believe that finding new customers is one of the most important parts of their business and we agree. Therefore the Business Activity Management module has the tools you need to easily manage and track each of your sales opportunity issues.

When a prospect or new business opportunity comes your way, simply create a new business activity. You can record and save any information about a prospect, such as contact information, other contacts for the prospect, multiple notes and more.

You can even assign the prospect to a salesperson for followup and easily find the prospect in the system once the activity is saved.

But you can even go beyond simple contact management for your prospects. The sales opportunity activity can be linked to important related information such as quotes and any customer history (i.e. credit, sales, products and customer service).

Other Management Tasks

The needs of your company and your own imagination are the main constraints for how the system works. Consider these other uses:

  • Customer Complaints
  • Vendor Negotiations
  • Warranty Claims
  • Employee Suggestions
  • Sales Opportunities
  • General Maintenance
  • Special Purchasing Tracking
  • ... and more

Visit the ACCTivate! website for more information on these business activity examples

Remember, because ACCTivate! is built to accommodate custom reports designed in Crystal Reports®, reports can be authored that provide a full management view of any of these business activities.
